I'm working on a project to (1) clean up our existing procurement files, (2) set-up a reasonable filing plan for hard copies, and (3) become as "digital" as possible going forward. Does anyone have a filing plan and/or departmental records management schedule for a Federal acquisitions management office that they can share?
My situation is that our Aquisition Management Service office does not actually have a Contracting Officer, so most of our files are simply administrative copies. The originals reside in the transaction case file within our Office of Procurement Services. The reality is that our files in AMS should probably be very minimal, but we still need to understand what we have currently, what we need to keep, and how we should structure our files and manage record retention going forward.
Unfortunately, the Department of Labor has not completed its records retention schedule, so I only have the General Records Schedule from the National Archive as a reference. Because of that, any specific examples of schedules and/or filing plans from other agencies would be great, though general comments and ideas are certainly welcome!
